Terms of service

The agreement between RI Web Gurus, which runs Sundial, and the business that opens an account. Written to be read; the short version is that your data is yours, you pay $16 per person a month after a free trial, and if you stop paying nothing is taken away from you.
1. Who we are, and who you are
Sundial is operated by RI Web Gurus ("we", "us"). These terms are the agreement between us and the business that opens an account ("you"). By creating an account, or by accepting an invitation into one, you accept them. If you are opening an account for a business, you confirm that you may agree to these terms on its behalf.
2. Your account
- Keep the details on your account accurate, and your password to yourself. You are responsible for everything done under your login.
- You decide who is on your account and what role they hold. You are responsible for the people you invite and for what they do in it.
- One person may belong to several accounts. Each account is a separate business with its own clients, invoices and bill, and nothing is shared between them.
- You must be at least 18 to open an account.
3. What Sundial does
Sundial tracks time, records expenses, raises invoices and recurring invoices, takes card payments through your own Stripe account, imports from Harvest and sends invoices to QuickBooks. It produces documents from what you put into it. It does not give accounting, tax or legal advice, and you are responsible for the contents of every invoice you send: the rates, the amounts, the tax and who it goes to.
4. What it costs
- A new account is free for 14 days, with no card needed.
- After that, $16 per seat, per month. A seat is a person who can sign in to the account, plus any invitation still waiting to be accepted. Deactivating somebody frees their seat.
- Billing is monthly, in advance, to the card on file, through Stripe. A seat added or removed part-way through a month is charged or credited for the part of the month it was in use.
- Prices exclude any sales tax or VAT we are required to charge.
- If the price changes we will email the account's owners at least 30 days before it takes effect.
5. If you stop paying
If a card payment fails, Stripe retries it and emails you, and the account carries on working while it does. If the subscription lapses, nothing is deleted and nothing is hidden: everything you have made stays readable, exportable and downloadable, and the payment pages your clients use keep working. What stops is making new things — timers, invoices, clients — until there is a card again.
You can cancel at any time from the Billing page. Cancelling stops the next charge; the month already paid for runs to its end, and we do not refund part of a month. If you want the account itself removed, write to us and we will delete it as described in section 6.
6. Your data
- What you put into Sundial is yours. You give us only the permission we need to store it, show it back to you and your team, send it where you tell us to, and keep it backed up. We do not sell it, use it for advertising, or use it to train anything.
- You can export your time, expenses and invoices as CSV, and any invoice as a PDF, whenever you like — including after a subscription has lapsed.
- The details of your clients and your team are personal data you are responsible for. You confirm you may put them into Sundial, and we process them only on your instructions and as the privacy policy describes.
- We take a backup every hour and keep copies off the server. If you ask us to delete your account we do so within 30 days, and the copies in backups age out within twelve months.
7. Payments from your clients
Card payments and automatic payments run through Stripe, on your Stripe account: the money goes from your client to you, and Stripe's own terms and fees apply to it. We are not a party to those payments. We never hold your money, and disputes and refunds are between you, your client and Stripe.
Automatic payment is an agreement between you and your client, for the recurring invoice and the amount they agreed to when they set it up. A client can stop it at any time from the link in every email about it. You must not use it to charge anything a client has not agreed to.
8. Connected services
Signing in with Google, importing from Harvest and sending to QuickBooks each depend on that service and are subject to its terms. We keep the access tokens they issue so we can act on your behalf, and you can disconnect any of them at any time from Settings.
9. What you may not do
- Use Sundial for anything unlawful, or to send invoices, reminders or receipts to people you have not done business with.
- Try to reach another account's data, probe or overload the service, or work around a limit.
- Upload anything harmful, or give access to somebody who would do any of this.
Every account has generous limits on how much it can hold, there to protect the service everyone shares rather than to sell a bigger plan. If you have a real reason to need more, ask.
10. Availability, changes and support
We work to keep Sundial available and will tell you about planned maintenance, but we cannot promise it will never be interrupted. We may change or retire features, with notice for anything that would change how you work. Support is by email, at sundial@sundialhq.app.
11. Our responsibility to you
Sundial is provided as it is. To the fullest extent the law allows, we are not liable for indirect or consequential losses, for lost profits, or for loss of data beyond what our backups can restore, and our total liability to you for anything arising from this agreement is limited to what you have paid us in the twelve months before the claim. Nothing here excludes a liability the law does not let us exclude.
12. Ending the agreement
You can stop using Sundial whenever you like. We may suspend or close an account that breaks these terms, or where the law requires it, and we will tell you why wherever we can. When an agreement ends, section 5 applies: your data stays readable until you ask us to delete it.
13. Changes to these terms
If we change these terms in a way that matters, we will email the account's owners at least 14 days before the change takes effect. Continuing to use Sundial after that is accepting the new terms. The date at the top says when they last changed.
14. Law, and how to reach us
This agreement is governed by the law of the State of Rhode Island, United States, and any dispute goes to its courts. Questions about it go to sundial@sundialhq.app.
